  Booking Terms and Conditions for Vendors

1) 

In order to be allocated exhibition space Vendors must complete and submit the online registration.

2)

Receipt of Applications for exhibition stands will be acknowledged.

3) 

An invoice will be issued by the Secretariat following the confirmation of your booking and full payment is required by return.

Non-payment by the due date may result in cancellation of your booking.  Vendors will not be allowed to occupy a stand if full payment has not been received.

5)

Exhibition Stands - The standard size for exhibition stands is 3m x 1m x 2.5m high, double size stands will be 6m x 1m x 2.5m high.

Exhibition Set-up – Stand Set-up is between 09.00hrs and 18:00hrs on Monday 6th October and stands must be fully set-up by this time.

Exhibition Breakdown – Stand Breakdown can take place once the afternoon tea/coffee break has concluded on Thursday 9th October and Vendors will not be allowed to dismantle or remove any part of their stand before this time.

However as Vendors are expected to take part in the full agenda of the Symposium there must be at least one Company Representative present in the closing session of the Symposium.

8) 

Names of all personnel attending with the stand must be pre-registered through the Registration Website (normally no more than 3 personnel per stand).

9) 

SHAPE access passes will be available on arrival for all Registered Vendors.

10)

A number of Registered Vendors will be invited to give a presentation or live demonstration of a product/service during the event.  Those selected will be contacted by the NATO Symposium Secretariat with relevant details.

11)

In the event of a Registered Vendor withdrawing from the event full payment will be required.

12)

If the event is cancelled, postponed, abandoned or re-located for causes outside the Organisers control, the Organisers accept no responsibility and shall be under no obligation to refund any monies to the exhibitor.

13)

Exhibitor Insurance - Each Vendor exhibits entirely at their own risk and the Organisers shall not be responsible for any loss or damage to exhibits or other property.

14)

Whilst a full promotional and publicity campaign will be undertaken by the Organisers, no level of attendance is guaranteed.
